Getting Started with Charles

Follow these steps to set up Charles and start reconciling your payment processor deposits with QuickBooks Online.

Purchase a License

Each Charles license corresponds to one QuickBooks Online company. You can start with a free 3-day trial or purchase a monthly or annual license.

To purchase:

  1. Go to the Buy Licenses page
  2. Enter your email address (you'll use this to log in)
  3. Select your license type:
    • Free Trial - 3 days, one per email address
    • Monthly - $49.95/license, 31 days
    • Annual - $499.50/license, 366 days (save 17%)
  4. Choose the number of licenses you need (volume discounts apply)
  5. Complete your purchase

After purchase, your license will be visible when you sign into Charles. You'll activate it by connecting to your QuickBooks Online company.

Create Your Account

Create a Charles account using the same email address you used when purchasing your license.

To create your account:

  1. Go to the Sign Up page
  2. Enter your email address (use the same email from your purchase)
  3. Create a password (at least 8 characters)
  4. Confirm your password
  5. Click Create account

Already have an account? Log in instead.

Sign In and View Your License

After logging in, your purchased license will be waiting for you, ready to activate.

To access your license:

  1. Log in to Charles with the email you used for your purchase and the password you created in Step 2
  2. Your license will be displayed automatically
  3. You'll be prompted to connect to QuickBooks Online to activate it

If you purchased multiple licenses, you can manage them all from within Charles.

Connect QuickBooks Online

Connect Charles to your QuickBooks Online company to activate your license and start reconciling payments.

To connect QuickBooks:

  1. Click Connect QuickBooks Online
  2. You'll be redirected to Intuit (QuickBooks) to sign in
  3. Select the QuickBooks company you want to connect
  4. Authorize Charles to access your company
  5. You'll be redirected back to Charles, ready to go

Each license is linked to one QuickBooks company. Make sure you select the correct company during setup.

What's Next?

Once you've completed setup, you'll be in the Charles dashboard. From there, you can:

  • Connect your payment processor (Stripe or Authorize.net)
  • Configure which QuickBooks accounts to use for deposits and fees
  • Sync payouts from your payment processor
  • Create deposits in QuickBooks that match your bank feed
